1. Introduction

This Privacy Policy explains how FlexNation (“we,” “us”) collects, uses, stores, and shares your personal information when you use our platform at flexnation.co and related services (the “Platform”).

By using the Platform, you consent to the practices described in this policy. If you do not agree, please do not use the Platform.

2. Information We Collect

a. Account Information

  • Name, email address, phone number, date of birth, and password.
  • For athletes: height, weight, gender, city/state/country, gym affiliation, achievements, Instagram handle (if provided).
  • For organizers: business name, federation affiliation, event details.

b. Payment Information

  • Payment card or UPI details are collected and processed directly by Razorpay, our PCI-DSS compliant payment partner. FlexNation does not store your full card number or CVV.
  • We retain payment references (order ID, payment ID, amount, status) for reconciliation and refund processing.

c. Usage Data

  • IP address, browser type, device identifiers, pages visited, referral URLs, and timestamps.
  • Cookies and similar technologies for authentication and analytics.

d. Uploaded Content

  • Profile photos, certificates, and media you choose to upload.

3. How We Use Your Information

  • To create and manage your account.
  • To process event registrations, payments, and refunds.
  • To share relevant registration details with the event organizer (athlete name, category, height/weight, contact email) so they can review your entry.
  • To send transactional emails (registration confirmations, payment receipts, approval/rejection notifications).
  • To improve the Platform and detect abuse or fraud.
  • To comply with legal obligations.

4. Information Sharing

We share your information only with:

  • Event organizers — to review and manage your event registrations.
  • Razorpay — to process payments and refunds.
  • Service providers (hosting, email, analytics) — under strict confidentiality agreements and only to the extent necessary to operate the Platform.
  • Authorities — when required by law, court order, or to protect our legal rights.

We do not sell your personal information to advertisers or third parties.

5. Public Information

Certain information is public by design: your name, gym/city, approved event entries, achievements, and spotlight features. You control what appears on your public athlete profile via your account settings.

6. Data Security

  • Passwords are salted and hashed using industry-standard algorithms.
  • Session tokens are stored in HttpOnly, secure cookies to protect against XSS.
  • All data in transit is encrypted via TLS (HTTPS).
  • Payment card data is never stored on FlexNation servers.

No system is 100% secure. In the unlikely event of a breach, we will notify affected users within 72 hours of discovery.

7. Data Retention

  • Account data is retained while your account is active.
  • Payment and transaction records are retained for 7 years as required by Indian financial regulations.
  • You may request deletion of your account and non-essential data by emailing support@flexnation.co.

8. Your Rights

  • Access — view and download your data.
  • Correction — update incorrect or outdated information via your profile.
  • Deletion — request deletion of your account.
  • Withdraw consent — for non-essential communications.

9. Cookies

  • Essential cookies — required for authentication and cart functionality.
  • Analytics cookies — anonymous usage statistics; you can disable these via browser settings.

10. Children's Privacy

FlexNation is not intended for users under 16 years of age. Minors aged 16–18 may use the Platform only with parental or guardian consent. We do not knowingly collect information from children under 16.

11. International Users

The Platform is primarily designed for users in India. Data may be stored on servers located in India and, in some cases, globally distributed CDNs. By using the Platform, you consent to this transfer.

12. Changes to This Policy

We may update this policy occasionally. Material changes will be notified via email and an in-app banner at least 7 days before taking effect.
