1. Acceptance of Terms
These Terms and Conditions (“Terms”) govern your access to and use of FlexNation, including flexnation.co and related websites, dashboards, pages, communications, and services (together, the “Platform”).
The Platform is operated by BTechnoid under the FlexNation brand (“FlexNation”, “we”, “us”, or “our”). By accessing, browsing, creating an account, listing an event, registering for an event, or buying spectator tickets through the Platform, you agree to these Terms and our Privacy Policy.
If you do not agree with these Terms, please do not use the Platform.
2. About the Platform
FlexNation helps athletes discover bodybuilding, physique, fitness, and strength-sport events, view event details, select eligible categories, register online where hosted registration is enabled, buy spectator entry tickets where ticketing is enabled, and receive confirmations, QR passes, and receipts.
FlexNation may also provide tools for event organizers, federations, promoters, gyms, and partners to create event listings, manage categories, review registrations, publish schedules, communicate with athletes, and manage post-event information.
3. Eligibility and Accounts
- You must be legally competent to enter into a binding contract under Indian law.
- Users under 18 may use the Platform or register for an event only with verifiable consent and supervision of a parent or legal guardian, and only where the applicable event rules permit participation.
- You must provide accurate, current, and complete account and athlete profile information.
- You are responsible for safeguarding your login credentials and for activity under your account.
- We may request additional verification, parental or guardian consent, or eligibility proof before accepting a registration.
- We may suspend or restrict accounts that provide false information, misuse the Platform, violate these Terms, or cannot complete required consent or eligibility checks.
4. Athlete Profiles and Event Registration
- You are responsible for ensuring that your name, contact details, date of birth, gender, height, weight, and selected categories are accurate for the event you are registering for.
- Category eligibility, age divisions, gender restrictions, height classes, weight classes, entry limits, fees, and weigh-in rules are determined by the event organizer and may vary by event.
- Weight-based categories may be verified at weigh-in. If you fail to meet the organizer's rules on event day, the organizer may deny participation or disqualify you.
- Registration availability is subject to event status, capacity, category limits, payment status, and organizer rules.
- A registration confirmation, receipt, or listing on the Platform does not guarantee any competition result, prize, judging outcome, or right to participate contrary to organizer rules.
- You will carry a valid government photo ID to the event and complete any physical registration, consent, or indemnity form required by the organizer at the venue. FlexNation does not require you to store ID-proof numbers online to register.
Health Declaration, Assumption of Risk & Waiver
Strength and physique sports — including bodybuilding, physique, powerlifting, and related events — involve inherent risks of physical injury, illness, or, in rare cases, worse. By completing a registration and accepting these Terms, you confirm and agree that:
- Health declaration — you are medically and physically fit to participate, you have no medical condition that makes participation unsafe, and you participate at your own risk and on your own medical advice.
- Assumption of risk — you voluntarily and knowingly assume all risks of participation, including training, weigh-in, warm-up, the competition itself, and being at the venue.
- Waiver & release — to the maximum extent permitted by law, you release and waive any claim against FlexNation, the event organizer, sponsors, judges, officials, and venue for any injury, loss, or damage arising from your participation, except to the extent caused by their gross negligence or wilful misconduct.
This declaration and waiver is recorded at the time you accept these Terms during registration. Minors must register and participate only as permitted by the organizer and applicable law, with parent/guardian consent.
5. Judging, Results and Event-Day Conduct
Competitions listed or hosted through the Platform may be judged by event-appointed judges, head judges, referees, tabulators, federation officials, or other authorized event officials. Judging criteria, comparisons, callouts, scoring, tie-breaks, eligibility checks, prize eligibility, and final placements are controlled by the organizer, federation, judging panel, or relevant event officials according to the event's rules.
- All judging, scoring, callouts, stage directions, category decisions, rankings, placements, tie-breaks, prize decisions, and disqualification decisions made by the appointed judges, head judge, referees, tabulators, organizers, or federation officials are final and binding for the event outcome.
- FlexNation is a technology platform and does not judge events, review scorecards, alter placements, decide prizes, or overturn organizer, federation, or judging-panel decisions.
- Corrections or reviews may be considered only for administrative, clerical, category-assignment, identity, eligibility-record, or tabulation errors, and only through the process and time window announced by the organizer or applicable federation.
- Disagreement with a judging outcome, score, callout, comparison, placing, or prize decision does not by itself create a right to refund, re-judging, re-entry, prize adjustment, or compensation from FlexNation.
- Abuse, threats, intimidation, harassment, disruption, or misconduct toward judges, officials, organizers, staff, volunteers, athletes, exhibitors, spectators, or venue personnel may lead to warning, removal from the venue, disqualification, cancellation of registration, denial of future participation, and/or other action permitted by event rules and law.
6. Spectator Tickets and QR Entry
- Spectator ticket availability, ticket types, day access, full-event access, custom passes, inventory, pricing, GST, booking fees, and entry rules are controlled by the event organizer and the settings shown at checkout.
- A paid spectator ticket may generate one or more QR passes depending on the selected ticket types. Each QR pass is linked to the buyer details submitted at checkout and may be scanned by authorized event staff at the venue.
- You must provide accurate buyer name, email, and phone details. Ticket confirmations, QR passes, and receipts are sent to the email address provided at checkout.
- You must carry a valid photo ID to the venue. The organizer or venue may deny entry if the QR pass is invalid, already used, refunded, cancelled, copied, misused, or inconsistent with event rules.
- Sharing, reselling, duplicating, tampering with, or attempting to reuse a QR pass may result in denial of entry without refund, subject to organizer and applicable legal rights.
- A ticket confirmation, QR pass, receipt, or payment status does not override event-specific terms, venue capacity, safety rules, age restrictions, government directions, or organizer-controlled entry decisions.
7. Exhibitor, Sponsorship and Stall Bookings
Some events may allow companies, brands, sponsors, vendors, or exhibitors to enquire for, reserve, or book stalls, sponsorship packages, branding opportunities, power requirements, or related expo services through the Platform. These bookings are business-to-business transactions linked to a specific event.
- You must provide accurate company, billing, GSTIN, contact, fascia/display name, products/services, and setup requirement details where requested.
- Stall, booth, sponsorship, branding, power, furniture, allocation, setup, possession, entry, and on-ground usage rules are controlled by the event organizer and venue.
- A booking form, receipt voucher, tax invoice, confirmation email, or online payment status does not guarantee a specific booth number or position unless the organizer has allocated and confirmed it.
- Where deposit or advance payment is enabled, the balance amount must be paid by the due date shown during checkout, in the confirmation email, or in organizer communication.
- Sponsorship tiers, high-value bookings, quote-only items, and bookings above online payment limits may be routed as enquiries for organizer follow-up or bank-transfer completion.
- FlexNation may charge a disclosed booking, platform, or convenience fee on top of the event/organizer amount. GST may apply to that fee separately where enabled and shown at checkout.
8. Payments
Where online payment is enabled, registration fees, spectator ticket prices, exhibitor booking amounts, advance payments, balance payments, booking fees, GST, and related charges may be collected through payment partners such as Razorpay. FlexNation does not store your full card number, UPI credentials, CVV, or other sensitive payment instrument details.
Payment status, receipts, settlement information, platform fees, organizer payouts, and related records may be maintained for operational, tax, accounting, audit, dispute, and legal compliance purposes.
9. Cancellation, Withdrawal and Refunds
This section governs cancellation, withdrawal, and refund handling for event registrations, spectator tickets, and exhibitor bookings paid through the Platform. Event-specific rules shown on an event page, checkout screen, confirmation email, QR pass, booking form, invoice, or organizer communication may apply in addition to these Terms.
If an organizer rejects a paid registration, cancels the event, or confirms a duplicate online payment, the eligible refund is initiated to the original payment method. If an event is rescheduled and you cannot attend, you may contact support within the window communicated for that event.
Athlete-initiated withdrawal is available only where the organizer has enabled it for that event. When withdrawal is enabled, the Platform shows the eligible refund amount before you confirm. If withdrawal is disabled, the withdrawal window has closed, or the event requires manual review, you may contact support and the request will be handled based on organizer rules.
- Organizer rejection after online payment: eligible for a 100% refund.
- Organizer-cancelled event: eligible paid registrations are refunded in full.
- Eligible self-withdrawal: refund amount is event-specific and shown before confirmation.
- Failed weigh-in, category ineligibility on event day, disqualification, no-show, or rule violation: refund is not guaranteed and may be denied by the organizer.
- Spectator ticket no-show, used QR pass, invalid transfer, duplicate scan, or venue-entry rule violation: refund is not guaranteed and may be denied by the organizer.
- Exhibitor or sponsorship cancellation, no-show, booth misuse, unpaid balance, late setup, or venue rule violation: refund eligibility is event-specific and may be denied by the organizer.
- Payments made outside the Platform, including cash, direct UPI, or bank transfer to an organizer, are not processed by FlexNation and must be handled directly with the organizer.
Refunds, where applicable, are processed back to the original payment method through our payment partner. FlexNation usually initiates eligible automatic refunds within 2-5 business days; the time taken for the amount to reflect in your account may vary based on bank, card network, UPI, wallet, or payment gateway policies.
10. Organizer Responsibilities
- Organizers are responsible for event accuracy, category setup, eligibility rules, venue details, scheduling, judging, prizes, safety, and on-ground execution.
- Organizers are responsible for ticket pricing, ticket inventory, day-pass configuration, attendee entry rules, QR scanning, gate staffing, and venue-capacity decisions.
- Organizers are responsible for exhibitor stall allocation, booth layout, sponsorship deliverables, on-ground access, venue permissions, power/furniture coordination, and any event-specific exhibitor rules.
- Organizers must ensure that event information published through the Platform is truthful and kept reasonably up to date.
- Organizers are responsible for complying with applicable laws, permissions, federation requirements, venue rules, taxation, and any local approvals needed to conduct an event.
- FlexNation is a technology platform and is not responsible for judging decisions, scoring, placements, prize decisions, event-day conduct, venue operations, or organizer-controlled outcomes.
11. Content and Platform Rights
The Platform, including its design, interface, software, code, branding, compilations, graphics, text, and other materials, is owned by FlexNation or its licensors and is protected by applicable intellectual property laws.
You may not copy, scrape, reproduce, sell, lease, reverse engineer, misuse, or commercially exploit the Platform or its content except as permitted by these Terms or with our written approval.
If you upload or submit profile information, images, event details, results, certificates, reviews, media, or other content, you grant FlexNation a non-exclusive, worldwide, royalty-free license to host, store, reproduce, display, publish, and use that content for operating, improving, promoting, and protecting the Platform and related services.
12. Prohibited Use
- Creating fake accounts, impersonating another person, or submitting false athlete or event details.
- Bypassing eligibility, payment, category, ticket, QR, gate-entry, capacity, security, or rate-limit controls.
- Copying, reselling, tampering with, sharing, or attempting to reuse a QR pass in a way that violates event rules or applicable law.
- Uploading unlawful, abusive, obscene, defamatory, infringing, harmful, or misleading content.
- Attempting to access another user's account, organizer dashboard, payment records, or non-public data.
- Using bots, scraping tools, malware, automated abuse, or any method that disrupts the Platform.
- Using the Platform in a way that violates applicable law or the rights of FlexNation, organizers, athletes, or third parties.
13. Third-Party Services
The Platform may integrate or link to third-party services, including payment gateways, analytics tools, cloud hosting providers, email services, social platforms, map services, and organizer websites. Your use of those third-party services may be governed by their own terms and policies.
14. Disclaimers
The Platform is provided on an “as is” and “as available” basis. We work to keep information accurate and services reliable, but we do not guarantee uninterrupted access, error-free operation, or the accuracy of all third-party or organizer-provided information.
Participation in fitness, bodybuilding, strength-sport, or competition-related activity may involve physical risk. You are responsible for your own health, preparation, medical advice, and event-day decisions.
15. Limitation of Liability
To the maximum extent permitted by applicable law, FlexNation will not be liable for indirect, incidental, special, consequential, punitive, or loss-of-profit damages arising from or related to your use of the Platform.
To the maximum extent permitted by law, FlexNation's aggregate liability for any claim relating to the Platform will not exceed the amount paid by you to FlexNation through the Platform for the transaction giving rise to the claim.
16. Suspension and Termination
We may suspend, restrict, or terminate access to the Platform if we believe you have violated these Terms, created risk for the Platform or other users, provided false information, failed payment verification, or acted unlawfully.
17. Governing Law and Jurisdiction
These Terms are governed by the laws of India. Subject to applicable law, disputes relating to these Terms or the Platform shall be subject to the courts having jurisdiction over FlexNation's principal place of business.
18. Changes to These Terms
We may update these Terms from time to time. The updated version will be posted on this page with a revised “Last updated” date. Your continued use of the Platform after an update means you accept the revised Terms.
